Privacy policy

This policy explains how iktex LLC ("iktex", "we") collects and uses personal data when you visit this website, contact us, apply for a job or talk to our online assistant. We process personal data in line with the Law of the Republic of Azerbaijan "On Personal Data" and, where it applies to visitors from the European Economic Area, the General Data Protection Regulation (GDPR).

1. Who is responsible

The controller of your personal data is iktex LLC. Our contact details are listed at the end of this page. Write to us at that address with any question about your data.

2. What we collect and why

Contact form

Your name, email address, optional phone number and company, the subject and your message. We use them to answer your enquiry and, if you ask for it, to prepare an offer. Legal basis: your request and our legitimate interest in replying to it.

Job applications

Your name, email address, phone number, optional LinkedIn profile and cover letter, and the CV you upload. We use them only to assess your application for the vacancy you chose, or for future vacancies if you sent an open application. CVs are kept in private storage that is not reachable from the public website. Legal basis: steps taken at your request before an employment contract.

Online assistant (chat)

The messages you type to the assistant and its answers, the language of the page, your browser's user agent and a one-way hash of your IP address (we do not store the address itself). We use them to answer your questions, to limit abuse and to improve the answers. The answers are generated by Google's Gemini service, which receives the text of the conversation. If you ask the assistant to pass your request to our team, the contact details you give are saved like a contact form message. Do not share sensitive personal data in the chat.

Technical data

Our servers log technical data that every web request carries (IP address, date and time, requested page, browser type) to keep the site secure and working. If you allow the "analytics" cookie category, error reports from your browser are sent to Sentry; they contain the page address, browser details and the technical error, but no IP address, cookies or form content.

3. Who receives your data

Only the iktex staff who need it for the purposes above. We use these processors, bound by contract to handle the data only on our instructions:

• our hosting provider, which runs the servers and stores the database and uploaded files;
• Google (Gemini API) — conversations with the online assistant;
• Sentry (Functional Software, Inc.) — browser error reports, only with your consent.

Video players and maps (YouTube, Vimeo, Google Maps, CARTO) are loaded only after you allow the "media" cookie category; the provider then receives your IP address under its own privacy policy. We do not sell personal data and do not share it for advertising.

4. Transfers abroad

Some of the processors above are located outside the Republic of Azerbaijan, including in the United States. Where data leaves the country we rely on the safeguards the processor offers (for example standard contractual clauses) and transfer only what the service needs.

5. How long we keep it

• Contact messages — up to 3 years after our last exchange with you.
• Job applications — up to 12 months after the vacancy is closed, unless you agree to a longer period or are hired.
• Chat conversations — up to 12 months.
• Server logs — up to 90 days.

Data is deleted earlier when you ask for it and no legal obligation requires us to keep it.

6. Your rights

You can ask us to tell you what data we hold about you, to correct or delete it, to restrict or object to its use, and to receive it in a portable format. Where processing is based on consent, you can withdraw it at any time — for cookies, through "Cookie settings" at the bottom of every page. You can also complain to the supervisory authority of your country. We answer requests within 30 days.

7. Security

The site is served over HTTPS only. Access to the admin panel requires an individual account, CVs are stored outside the public web root and are opened only through short-lived signed links, and IP addresses in chat records are stored as one-way hashes.

8. Children

This website is intended for businesses and job seekers over 16. We do not knowingly collect data from children.

9. Changes

We update this policy when our processing changes. The date of the current version is shown at the top of the page.
